電話英語(yǔ)之秘書(shū)用語(yǔ)
到國(guó)外出差之前,一般而言都以傳真和外國(guó)的當(dāng)事者取得晤面的約定,很少用電話聯(lián)絡(luò)。但是在國(guó)內(nèi),或是自己在國(guó)外需要緊急晤面的時(shí)候,利用電話則較為方便。在本篇中所要介紹的是要求晤面的人:
(1)正確介紹自己的姓名,與正確獲知對(duì)方姓名。
(2)要詢(xún)問(wèn)希望與誰(shuí)晤面,并且把意思正確地傳達(dá)給對(duì)方。
(3)要傳達(dá)或詢(xún)問(wèn)約定的時(shí)間與場(chǎng)所。
如果能正確地溝通并掌握上述三點(diǎn)原則,那么你的商務(wù)英文電話就可以說(shuō)是及格了。
(1)經(jīng)由秘書(shū)安排約定
I’d like to make an appoingtment with Mr.Hammer. (我想要和Hammer先生約個(gè)見(jiàn)面時(shí)間)
原則上約定見(jiàn)面商談時(shí),應(yīng)事先用傳真或信函同志對(duì)方較為妥當(dāng)。如果在事先未能以書(shū)面告知時(shí),最好說(shuō)清楚見(jiàn)面時(shí)想說(shuō)的內(nèi)容,如 to diascuss the contract [洽談合同事宜]。
(2)經(jīng)由秘書(shū)安排約定
Could I see Mr.Hammer sometime this week? (我們能不能在這個(gè)星期跟Hammer先生見(jiàn)個(gè)面?
sometime this week 是[這個(gè)星期隨便什么時(shí)候]之意。最好配合自己的日程表說(shuō)清楚有空閑的時(shí)間,如 Either on Wednesday or Thursday.(星期三或星期四都可以)。
(3)經(jīng)由秘書(shū)安排約定
Would it be possible to see Mr.Hammer tomorrow? (明天能不能跟 Hammer先生見(jiàn)個(gè)面?) 左句含有 Does Mr.Hammer have time to meet with me tomorrow? (Hammer先生明天有時(shí)間跟我見(jiàn)面嗎?),或 If he does have time,may I meet him tomorrow? (如果他有空,我明天能跟他見(jiàn)面嗎?)之意。
(4)經(jīng)由秘書(shū)安排約定
What time is convenient for him? (他什么時(shí)候有空呢?) 也可以說(shuō) What time is he available?(他什么時(shí)候有空?),但用 convenient 會(huì)給人比較客氣的感覺(jué)。如果無(wú)法照對(duì)方的要求時(shí)間見(jiàn)面時(shí),就說(shuō)I\’m available at three o\’clock.(我三點(diǎn)有空)來(lái)試探一下也無(wú)妨。
(5)經(jīng)由秘書(shū)安排約定
I\’d like to have lunch with him tomorrow. (我想明天和他吃午飯)
在歐美,商業(yè)界常舉行 a lunch meeting [商業(yè)午餐]。在這種聚餐中,不但容易相互溝通,也可以借此加深彼此交情,因而用餐的時(shí)間長(zhǎng)達(dá)三小時(shí)的情形也屢見(jiàn)不鮮。
(6)直接求見(jiàn)本人
If you have time, I\’d like to meet with you today. (如果您有時(shí)間,我想今天跟您見(jiàn)個(gè)面)
雖然已約好時(shí)間,可是有急事想提早見(jiàn)面時(shí),就可以用這句。如果沒(méi)有空閑時(shí)間就說(shuō) I\’m sorry,but I\’m really tied up today.(很抱歉,我今天真的沒(méi)空)。
(7)直接求見(jiàn)本人
Could you spare me about half an hour? (能不能給我半個(gè)小時(shí)的時(shí)間?)
這句話是對(duì)熟人說(shuō)的話。spare是[騰出(時(shí)間),分讓(東西)之意。有時(shí)間的話說(shuō) Sure.,OK.等;如果沒(méi)空的話說(shuō) I\’m afraid I can\’t.(恐怕不行)就可以了。
(8)直接求見(jiàn)本人
Could we get together at L.A.Restaurant? (我們能不能在洛城餐廳會(huì)面?)
get together是[聚會(huì)、會(huì)面]之意的較為隨便的說(shuō)法。說(shuō)明聚會(huì)地點(diǎn),如某某餐廳等時(shí),最好指出大家共同認(rèn)識(shí)(shared knowledge)的目標(biāo)比較好。
(9)直接求見(jiàn)本人
I was wondering if we could arrange a meeting to discuss the new product. (我想,我們是不是可以安排一次會(huì)面來(lái)討論新產(chǎn)品)
這句是經(jīng)由第三者介紹而尚未謀面的人在約定晤面時(shí)使用。I was wondering if...的說(shuō)法含有不太拘束形式的溫和語(yǔ)氣。還可以用Would it be possible to meet and discuss the new product?.
(10)直接求見(jiàn)本人
I\’m calling about what we discussed the other day. (我打電話是為了前幾天我們所討論的事)
這句是已見(jiàn)過(guò)面想再繼續(xù)時(shí)的說(shuō)詞。接到電話的人可以答稱(chēng) I\’ve been waiting for your call.(我一直在等您的電話里),并接著說(shuō)Let\’s get together. When can we meet to talk?(我們來(lái)聚一聚。什么時(shí)候可以見(jiàn)面?)
(11)詢(xún)問(wèn)目的
What would you like to talk to me about? (你要跟我談些什么事?)
也可以用 Can l ask you what you want to discuss?.要見(jiàn)面之前,事先了解討論的內(nèi)容、前后關(guān)系、背景(context)等有助于預(yù)作交涉前的準(zhǔn)備工作。
(12)表示同意
Sure. (好啊!)
簡(jiǎn)短地表達(dá)肯定的方式有 Certainly. (當(dāng)然可以),Of course.(當(dāng)然)等,意思都差不多。在談話中如果常用這種簡(jiǎn)短詞句會(huì)給人幼稚的感覺(jué)。應(yīng)該用一些不同說(shuō)法才能給人較佳印象。
(13)表示拒絕
I don\’t think we have to meet on this subject. (關(guān)于這個(gè)問(wèn)題,我不認(rèn)為我們有見(jiàn)面的必要)
對(duì)于不認(rèn)識(shí)的人或推銷(xiāo)人員的求見(jiàn)電話,認(rèn)為無(wú)需見(jiàn)面時(shí),可以用這句話,或明確地用It\’s probably not necessary to meet.(沒(méi)有必要見(jiàn)面)來(lái)加以謝絕。
(14)與代理人會(huì)面
I\’m afraid I can\’t, but Mr.Brown will meet you instead. (我不能會(huì)面,但Mr.Brown會(huì)替我跟你見(jiàn)面)
句首用 I\’m afraid I can\’t...會(huì)給人非常客氣的印象。若不小心而唐突地說(shuō)出I\’m too busy to meet you.,說(shuō)不定會(huì)給對(duì)方帶來(lái)受輕視的感覺(jué)。
(15)想要決定的時(shí)間與場(chǎng)所
May I arrange the time and the place, please? (能不能讓我安排時(shí)間與場(chǎng)所?)
也可以 Do you mind if I set the time and location for our meeting? (我來(lái)定見(jiàn)面的時(shí)間和地點(diǎn)可以嗎?)。開(kāi)會(huì)的時(shí)間和地點(diǎn)常常影響商談的成果,因而配合對(duì)方時(shí)間的同時(shí),要把握主導(dǎo)權(quán)。
(16)詢(xún)問(wèn)適當(dāng)?shù)臅r(shí)間
When do you have free time? (您什么時(shí)候有空?)
這是自己有時(shí)間可以配合對(duì)方來(lái)約定見(jiàn)面時(shí)間的問(wèn)法。也可以用 When are you available? 談商務(wù)時(shí),free time 指的是除去假日及下班后的時(shí)間。
(17)告知適當(dāng)時(shí)間
I’m free at three o\’clock today. (我今天下午3點(diǎn)有空)
此句是(3點(diǎn)以前不方便,但3點(diǎn)以后才有空)的意思。也可以用 I\’m available at three o\’clock.如果是[3點(diǎn)到4點(diǎn)有空]的話,就用availbale from three o \’clock until four 即可。
(18)提議約定日期與時(shí)間
Can I see you Thursday at nine? (我能不能在星期四,9點(diǎn)跟您見(jiàn)面?)
如果對(duì)方?jīng)]有時(shí)間時(shí),就用 How about...? 的句型來(lái)調(diào)整適當(dāng)?shù)囊?jiàn)面時(shí)間。用I\’ll be free anytime from 10:00a.m.till 3:00p.m.on Wednesday.(星期三的上午10點(diǎn)到下午3點(diǎn)我都有空)的話,可以讓對(duì)方選擇方便的時(shí)間。
電話英語(yǔ)留言
中國(guó)家庭并不常用電話答錄機(jī)(Answering Machine),但在北美家庭,幾乎家家都用。外來(lái)電話撥入時(shí),若該電話號(hào)碼的主人不在,就會(huì)讓撥入者聽(tīng)到一段留言,這叫Answer。絕大多數(shù)的Answer都是千篇一律的:說(shuō)明主人不在,請(qǐng)撥入者留下簡(jiǎn)短信息及姓名電話號(hào)碼等。以下幾則特別的 Answer 體現(xiàn)了美國(guó)佬的幽默,你能體會(huì)出其幽默所在嗎? 同時(shí),本人希望讀者能舉一反三,從美國(guó)家庭電話留言中學(xué)到一些有用的東西,從而可以應(yīng)用到商務(wù)電話留言當(dāng)中來(lái):
1) My wife and I can’t come to the phone right now, but if you’ll leave your name and number, we’ll get back to you as soon as we’re finished.
2) Hi. This is John. If you are the phone company, I already sent the money. If you are my parents, please send money. If you are my financial aid institution, you didn’t lend me enough money. If you are my friends, you owe me money. If you are a female, don’t worry, I have plenty of money.
3) Hi, I’m not home right now but my answering machine is, so you can talk to it instead. Wait for the beep(beep:主人的Answer講完以后,Answer Machine會(huì)發(fā)出一聲beep, 這時(shí)候來(lái)電話者就可以開(kāi)始留言了。).
4) Hi! John’s answering machine is broken. This is his refrigerator. Please speak very slowly, and I’ll stick your message to myself with one of these magnets(磁鐵).
注:通常情況下,來(lái)電話者面對(duì)錄音講話都不太自然,所以語(yǔ)言往往很急促,三句兩句話就完了。這可苦壞了接聽(tīng)留言的主人,聽(tīng)多少遍都聽(tīng)不清留言者到底是誰(shuí),講了些什么。對(duì)于母語(yǔ)非英文的人,這種感覺(jué)會(huì)更深。所以,以下這兩段幽默干脆就首先告訴電話撥入者,我的Answer Machine不好使,你且慢慢來(lái)。
5) Hello, this is Sally’s microwave. Her answering machine just eloped(私奔) with her tape deck(磁帶驅(qū)動(dòng)器), so I’m stuck with taking her calls. Say, if you want anything cooked while you leave your message, just hold it up to the phone.

11) You’re growing tired. Your eyelids(眼皮) are getting heavy. You feel very sleepy now. You are gradually losing your willpower(毅力) and your ability to resist suggestions. When you hear the tone you will feel helplessly compelled to(感到無(wú)助而被迫做某事) leave your name, number, and a message.
12) Please leave a message. However, you have the right to remain silent. Everything you say will be recorded and will be used by us.
注:you have the right to remain silent:電影電視里警察出示逮捕令時(shí)常講的一句話。西方社會(huì)講究人權(quán),任何疑犯在未審判之前不得認(rèn)為有罪,因而不能逼供、更不可拷打:他們有權(quán)保持沉默。
13) Hello, you’ve reached Jim and Sonya. We can’t pick up the phone right now, because we’re doing something we really enjoy. Sonya likes doing it up and down, and I like doing it left to right ... real slowly. So leave a message, and when we’re done brushing our teeth, we’ll get back to you.
